How to plan a SaaS product demo video that shows one useful outcome

A useful product demo answers one question: can this product help me complete the task I care about? Choose that task before recording. A tour of every screen makes the viewer work to find the benefit.

This guide gives you a script and a review checklist you can apply to a demo made in DemoBro or another recording workflow. The example below is an illustrative shared-inbox scenario, not a customer result or a timing benchmark.

Choose the viewer and the next action

Write down the viewer, the problem and the action you want them to take. For example: a SaaS support lead needs to assign an incoming request without losing ownership; after watching, they should try that workflow or request a guided demo.

A landing-page viewer needs context quickly. A sales prospect already knows the problem, so you can begin with the workflow discussed on the call. Make a separate cut when the audience changes rather than adding every possible use case to one video.

Script one complete workflow

Use this structure as an editing plan. The suggested durations are targets to try, not measured DemoBro production times.

  • Problem, 5–10 seconds: show an incoming request and the ownership question.
  • Action, 20–35 seconds: assign the request, add context and send a response.
  • Result, 5–10 seconds: hold on the visible owner and resolution.
  • Next step, about 5 seconds: invite the viewer to try that specific workflow.

For the shared-inbox example, the narration could be:

“An incoming customer request needs an owner. Assign it to the teammate handling this account, add a private note with the relevant context, then send the response. The conversation now has a clear owner and a visible resolution.”

Match each sentence to an action actually visible on screen. Avoid saying “automatic” if the recording shows a manual step. Show the resulting state long enough for the viewer to understand it.

Prepare a clean capture

Use a demo account with sample data and remove notifications, private messages and real customer details. Set the browser viewport before capture. Check that text is readable at the size where the video will be embedded, especially on a phone.

Begin from the state a viewer needs to understand. Keep the pointer near the action, pause after important changes, and remove waits that do not explain the workflow. If the path depends on setup or an integration, say so instead of hiding the requirement.

Review the generated video

Watch the whole output before publishing. Check that every click reaches the intended state, the narration matches the screen, captions are accurate, and the ending shows the promised outcome.

For another language, review pronunciation, translation and timing separately. A translated transcript alone does not establish that the audio fits the video. Ask someone fluent in that language to review the final cut.

Put the demo where the decision happens

On a landing page, place the video beside the relevant benefit and explain what it demonstrates. For sales follow-up, refer to the prospect’s task and point to the matching moment. Avoid implying that creating a share link means someone has watched the video.

Measure the steps separately: playback, meaningful watch progress, next-action clicks, signup, successful first demo, and repeat use. At low traffic, review individual journeys and conversations before judging small changes in percentages.

Use this final checklist

  • One viewer, one task and one next action are clear.
  • The recording shows a complete workflow and its result.
  • Sample data replaces private or customer information.
  • Text is legible at the intended embed size.
  • Narration and captions match the visible actions.
  • The final video has been watched from beginning to end.
  • The page or message explains why this example is relevant.
